The rules of the road for renting our bean bags. Read these before you book — by submitting a quote request and paying a deposit, you agree to these terms.
A 25% non-refundable deposit confirms your booking. The remaining balance is due 48 hours before delivery. We accept credit card, Venmo, and Zelle. Prices in your written confirmation are final.
7 or more days before your event: full refund of deposit.
3 to 6 days before: 50% refund of deposit, or a free reschedule within 90 days.
Less than 3 days before (last-minute cancellation): no refund. We’ll happily reschedule for weather or genuine emergencies on a case-by-case basis.
Weather-related cancellations: free reschedule regardless of timing.
Why the short-notice rule: by the time you’re inside 3 days, we’ve already scheduled the truck, blocked out crew time, and turned away other bookings for your date. We can’t recover those costs.
Our bean bags are weather-resistant but not waterproof. If the forecast looks rough we’ll proactively offer a free reschedule. Severe weather, natural disasters, government orders, or other events outside reasonable control are covered by force majeure — affected bookings get rescheduled at no charge.
We’ll deliver Equipment to your venue at the agreed time and collect it at the agreed time. You must ensure venue access is available at both points. If we can’t reach the equipment at the agreed pickup time — for example, the venue is locked, no one is on-site, or the bags have been moved — you remain responsible for the Equipment until collection, including any additional rental nights at the standard rate ($30/bag/night).

Any prohibited use voids the optional damage waiver and may result in full replacement charges.
Normal wear and tear is included in your rental fee — minor surface marks, small scuffs, and ordinary event use are all fine. Damage beyond normal wear is your responsibility, billed at these per-bag rates:
If a bag is reported lost during your rental window, you have 48 hours from pickup time to locate it before the replacement charge applies. We’ll do our best to work with you.
For peace of mind, you can add a damage waiver at booking that covers up to $500 in accidental damage at no additional cost. The waiver does NOT cover theft, loss, intentional damage, or any prohibited use under Section 6.
Equipment is rented “as is.” You assume all risk arising from use of the Equipment at your event. We are not liable for any injury, illness, or property damage caused by use of the Equipment, except where caused by our gross negligence. You agree to indemnify Bean Bag Rental Co against any third-party claims arising from your event.
You’re responsible for any event insurance required by your venue. We carry our own general liability insurance and can provide a certificate of insurance to venues, colleges, or corporate clients on request — just ask when you book.
These terms are governed by the laws of North Carolina. Any disputes will be resolved in the state or federal courts of Wake County, North Carolina.
These Rental Terms, together with your booking confirmation and the signed Rental Agreement, form the entire agreement between you and Bean Bag Rental Co. They supersede any prior discussions.
